The Staff and Fleet Planning module can be used by rental organizations that do not solely supply materials, but also take care of support or additional services. Besides this, your planning needs an overview of available personnel as well as projects-in-process.

The Personnel Planning and Fleet Planning module is an absolute must if you are solely making use of renting out personnel and freelancers, such as Catering job agencies or stagehands.

With the Personnel Planning and Fleet Planning module you can easily control and manage the following tasks:

  • Per contract/project you can register function demand (2 cameramen, 1 editor, 20 waitresses, etc.)
  • Per contract you can register the time schedule and link it to the functions
  • Working with ‘Crews’ and ‘Teams’. A Crew is a compilation of several functions (one cameraman, sound technician and a reporter for example). A Team is the compilation of people making up the Crew. This way, a set collaborating team can be quickly registered via personnel planning. If necessary, a ‘crew-chief’ or project leader can be assigned
  • Shifting personnel and fleet and registering fleet assignment
  • Hotel bookings
  • Necessary space can be coordinated with the fleet
  • Through the Text-server you can keep your staff informed on planning
  • Through the OakTree Webportal your personnel can view planning and call sheets
  • In combination with the registration of hours you can closely follow the unfolding of personnel planning
  • Quickly act on changes (illness, fleet break-down or extra shifts)

There are many more functions for adequate personnel support.

Most planners have started working with a minimum of two computer screens, which only benefits an efficient work method more. Thus, you can, if necessary, drag-and-drop employees to the desired project. You can also plan complete crews by dragging and dropping one of your teams to the desired project. To keep an overview during a busy period, you can use filters to filter out just one contract or just a few days. You can even tick off several days in the weekly overview in order to maintain a clear schedule.

Every change made in your planning is directly registered in the webportal. Do you wish to inform the planned crew? Send a text message to the planned employees and if necessary forward them to the webportal with just one click of a button.

FLEET MANAGEMENT

The link with a License and Registration Office (like the RWD in the Netherlands) ensures accurate fleet management; not only for your own fleet, but also for the hired fleet. Besides make and identification of the vehicle, capacity is also retrieved, such as maximum number of passengers, maximum carrying capacity, maximum volume, idle mass, power, fuel, papers, BPM, cylinders, vehicle testing regulations validity; in short, a complete picture of your fleet.
